Privacy Policy

Last updated: 31 May 2026

Beeley Holiday Cottages Ltd (“we”, “our”, or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your personal data when you book or stay with us — whether through our website (https://beeleyholidaycottages.co.uk), third-party booking platforms, our Guest Registration form, third-party service providers (such as Truvi), or direct communication with us.

1. Who We Are

Beeley Holiday Cottages Ltd is a company registered in England and Wales (company number 14196046) providing luxury self-catering holiday accommodation in the Peak District. We are registered with the Information Commissioner’s Office (ICO) as a data controller.

2. Information We Collect

We may collect and process the following categories of personal data in connection with your booking, stay, or enquiry:

  • Identification and contact details (e.g., name, postal address, email, phone)
  • Booking and stay details (e.g., dates, party composition, vehicle details, special requirements, allergies, emergency contact)
  • Identity verification documents (e.g., passport or driving licence, processed through our identity verification provider)
  • Payment information (processed through our booking and payment providers)
  • Marketing preferences
  • Communications between us (by email, phone, SMS, WhatsApp, or messages through booking platforms)
  • Technical data (IP address, browser and device information, collected via cookies and analytics when you use our website)
  • Security monitoring data (CCTV footage and noise level recordings at the property — see section 9)

3. How We Collect Your Data

We collect your data from:

  • You directly — when you book, complete our Guest Registration form, contact us, or use our website
  • Third-party booking platforms you use to book with us
  • Our service providers (including our booking management and identity verification providers)
  • Automated technologies on our website (cookies and analytics)
  • Security monitoring at the property

4. How We Use Your Data

We use your data to:

  • Manage your booking and provide the accommodation
  • Communicate with you before, during, and after your stay
  • Process payments and security deposits
  • Verify the identity of guests
  • Comply with our legal, tax, accounting, insurance, and regulatory obligations (including any applicable short-term let registration requirements)
  • Maintain the security of the property and the safety of guests and neighbours
  • Send marketing communications where you have opted in
  • Improve our services, the security and performance of our website, and our customer service

5. Legal Basis for Processing

Under the UK GDPR, our lawful bases for processing personal data are:

  • Contract — to manage your booking and provide accommodation and related services
  • Consent — for marketing communications and other optional preferences
  • Legal obligation — to comply with tax, accounting, regulatory, and other legal requirements
  • Legitimate interest — for property security (including CCTV and noise monitoring), fraud prevention, marketing analytics, and improving our services

6. Sharing Your Data

We do not sell your personal data. We may share your data with:

  • Service providers that help us run our business — including our booking management, payment, identity verification, email, analytics, and any cleaning or maintenance providers. These providers act on our instructions and are bound by contractual data protection terms.
  • Third-party booking platforms where you book through them. These platforms process your data as independent or joint controllers under their own privacy policies.
  • Legal and regulatory authorities where required by law (for example, tax authorities, the police, or applicable registration schemes).

7. International Transfers

Some of our service providers (including our website analytics provider and our booking management platform) are based outside the UK, including in the United States. Where we transfer personal data outside the UK, we rely on appropriate safeguards required by UK data protection law (such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with the UK Addendum). You can request further information about these transfers by contacting us.

8. Retention

We retain personal data for as long as we need it to:

  • Manage your current and any future booking
  • Comply with our legal, tax, accounting, insurance, and regulatory obligations (which typically require records to be kept for at least six years after the end of the relevant accounting period)
  • Comply with any applicable short-term let registration requirements
  • Defend against potential legal claims

Where personal data is held by our third-party service providers (such as our booking management or identity verification providers), retention is governed by their own retention policies and our contractual arrangements with them. Security monitoring recordings are typically retained for up to 30 days unless required for an ongoing incident investigation.

9. CCTV and Security Monitoring

Our properties may use security monitoring, including external CCTV (such as a video doorbell and security camera at the front of the property) and an internal noise decibel monitor. This monitoring is in place to protect the security of the property, the safety of guests and neighbours, and to support enforcement of our quiet hours and other House Rules.

Recordings are processed under our legitimate interest (property security and incident investigation) and are retained as described in section 8. Notice of these monitoring measures is given in our House Rules and listing information.

10. How We Protect Your Data

We use appropriate technical and organisational measures to safeguard your personal data, including:

  • SSL/TLS encryption for our website
  • Use of reputable booking, payment, and identity verification platforms
  • Restricting access to personal data on a need-to-know basis
  • Periodic review of our data handling practices

11. Cookies

Our site uses cookies to:

  • Support essential functions
  • Improve your browsing experience
  • Analyse traffic via Google Analytics

You can manage or block cookies via your browser settings.

12. Your Rights

Under the UK GDPR, you have the right to:

  • Access the data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your data in certain circumstances
  • Limit how we use your data in certain circumstances
  • Receive your data in a portable format
  • Object to processing based on legitimate interest or direct marketing
  • Withdraw consent where applicable
  • Not be subject to a decision based solely on automated processing — we do not currently make decisions about you using solely automated means
  • Lodge a complaint with the ICO (Information Commissioner’s Office)

We will respond to your request within one month of receipt (extendable by two months for complex requests). To exercise these rights, contact us at: enquiries@beeleyholidaycottages.co.uk
